Role

As PMO Officer / Resource Planner, you are responsible for the day-to-day workforce and capacity planning within our project organisation. You ensure that approximately 60 employees are deployed effectively across around 200 concurrent and continuously evolving projects.

You maintain a continuous overview of available capacity, project priorities and scheduling conflicts. You do not simply wait for input: you actively coordinate with project managers, challenge priorities and make independent decisions to arrive at a feasible schedule.

In addition to resource planning, you provide administrative support to project managers and contribute to clear, efficient PMO processes. You report directly to the Project Operations Manager.

Your responsibilities

Resource and project planning are the main focus of your role:

  • You manage and update resource planning for approximately 60 employees and 200 dynamic projects.

  • You translate project requirements, available capacity, competencies and deadlines into a feasible workforce plan.

  • You process changes quickly and accurately in the planning tool.

  • You identify capacity issues, double bookings, bottlenecks and conflicting priorities at an early stage.

  • You discuss scheduling conflicts with project managers and proactively propose workable solutions.

  • You safeguard the reliability of planning data and ensure that all stakeholders have access to up-to-date information.

  • You support project prioritisation across the overall portfolio.

  • You monitor the schedule closely and make adjustments when projects, deadlines or staffing requirements change.

In addition:

  • You support project managers with administrative and organisational tasks.

  • You process and follow up on project documents.

  • You maintain the education and training register and monitor outstanding actions.

  • You ensure that relevant project documentation remains complete and up to date.

  • You contribute to the further structuring and professionalisation of project management processes, templates and working methods.

  • Where required, you prepare reports, summaries and KPIs for project managers and management.

  • Together with your colleague, you ensure continuity and mutual cover.

Profile

For this role, we are primarily looking for someone with strong planning skills, decisiveness and persuasive communication abilities.

  • You preferably have experience as a PMO Officer, project planner, resource planner or in a similar role.

  • You have demonstrable experience with dynamic workforce or capacity planning in a project environment.

  • You communicate very well and professionally in Dutch. A good command of English is an advantage.

  • You are assertive and confident in addressing project managers, discussing conflicting interests and offering well-founded challenge.

  • You set priorities independently and make decisions when the schedule requires it.

  • You maintain a clear overview in an environment with many concurrent projects and frequent changes.

  • You work accurately, systematically and proactively.

  • You have strong organisational skills and consistently follow up on agreements and actions.

  • You are a collaborative colleague and willing to share knowledge, enabling you and your colleague to provide full cover for one another.

 

 

Experience and knowledge

Practical planning experience and the right interpersonal skills are more important to us than a specific technical background.

Experience with Visual Planning is a strong asset. If you do not yet have this experience, we expect you to learn the software quickly. Experience with Excel, MS Project or other planning and reporting tools is also useful.

A bachelor's or master's degree and knowledge of project management methodologies such as PRINCE2, Lean or Six Sigma are advantages, but not strict requirements.
